Cancel Policy
MHS2026 Registration Cancellation Policy
If you wish to cancel your registration after completing the registration process, please notify the MHS2026 Secretariat in writing or by email. The effective date of cancellation will be the date on which the MHS2026 Secretariat receives your cancellation request.
Cancellation of General Registration
For cancellation requests received on or before October 31, 2026, at 23:59 Japan Standard Time (JST), the registration fee will be refunded after deduction of any applicable cancellation and refund processing fees.
For cancellation requests received on or after November 1, 2026, no registration fee will be refunded. No refund will be provided for participants who fail to attend without prior notice (no-shows).
Registration Associated with an Accepted Paper
For an accepted paper to be included in the MHS2026 program and conference proceedings, at least one author of each paper must complete the required registration and payment by the designated deadline.
Notwithstanding the general cancellation policy above, a registration used to satisfy the registration requirement for an accepted paper is, in principle, non-refundable after the Final Paper submission deadline of September 30, 2026, at 23:59 JST. If cancellation is requested on or before September 30, 2026, at 23:59 JST, the general cancellation policy will apply, provided that the corresponding paper is formally withdrawn or the registration requirement for the paper is satisfied by another author with a valid registration. If cancellation of a registration results in an accepted paper no longer satisfying the author registration requirement, the paper may be removed from the MHS2026 program and conference proceedings.
Registration Substitution
If a registered participant is unable to attend the conference due to unavoidable circumstances, the registration may be transferred to another participant on or before November 20, 2026, at 23:59 JST. In principle, no substitution fee will be charged. However, if the registration category of the substitute participant results in a difference in the applicable registration fee, the participant may be required to pay the difference. If a registration used to satisfy the registration requirement for an accepted paper is transferred, the substitute registrant must be an author of the corresponding paper. The paper must continue to satisfy the author registration requirement after the substitution.
Visa Denial
If a visa application is formally denied, please contact the MHS2026 Secretariat as soon as possible and provide official documentation confirming the visa denial. If the visa denial occurs after the regular cancellation deadline, a refund request may be considered on a case-by-case basis after review of the submitted documentation and circumstances. A refund is not guaranteed. If a registration used to satisfy the registration requirement for an accepted paper is cancelled due to visa denial, another author must maintain a valid registration for the paper to remain in the MHS2026 program and conference proceedings.
Refund Processing
Refunds will normally be processed through the original method of payment.
If bank transfer charges, payment processing fees, or other costs are incurred in processing a refund, such fees may be deducted from the amount refunded. MHS2026 is not responsible for any difference in the refunded amount resulting from fluctuations in currency exchange rates.
Force Majeure and Conference Changes or Cancellation
MHS2026 reserves the right to modify the conference format, schedule, venue, or program due to natural disasters, infectious diseases, governmental restrictions, major transportation disruptions, or other circumstances beyond the reasonable control of the MHS2026 Organizing Committee. If MHS2026 is cancelled by the Organizing Committee, information regarding the refund of registration fees will be announced separately. MHS2026 will not be responsible for travel expenses, accommodation costs, visa application fees, or any other personal expenses incurred by participants.
